In the data room with the labels feature activated, you can assign various labels to files for easy categorization and filtering.

Please keep in mind:

  • The list of available labels is defined by the project administrators in the data room settings. Any full administrator can adjust the label values in the Document labels menu.

  • A user should have Upload permission to the documents to be able to assign and unassign labels to them.

  • Users with any role can see the label values assigned to the documents they have access to (any permission higher than None).

  • Labels can only be assigned to files, and not to folders.


To assign labels:

  • Select the file(s) in the list;

  • Right-click on any of the selected files and go to Add labels in the drop-down menu.

  • Click the label(s) you’d like to add to the files;

  • Click Apply.

Besides the context menu, the same option Add labels is available on the top panel in the Documents tab as soon as any documents are selected.

To unassign or change labels:

  • Select the file(s) in the list;

  • Go to Add labels menu option;

  • Unclick the label(s) you’d like to remove and/or select the new ones;

  • Click Apply.


To search for the relevant documents by their labels, use the filter Labeled, and select the corresponding values:


Project administrators can track the changes made to the document labels by all users in the Reports tab:

All actions => Labels editing under Actions over files and folders

You may see the details of changes by hovering a cursor over the three dots.

Or check it in the exported report under the Details column.


Upon exporting the project index, the corresponding document labels will be listed under the Labels assigned column.
